Visitor Management
End-to-end visitor management on Matrix COSEC — host pre-registration, self-service web and mobile check-in, time-based access to sensitive areas, real-time tracking, and audit-grade reports, deployed in the cloud or on-premise.
Most sites still run the front desk on a paper logbook and a receptionist who re-types every guest's details by hand.
It is slow at the door, illegible afterward, trivial to falsify, and useless the moment an auditor — or an incident — asks who was on the premises at 3pm last Tuesday and who signed them in. IPTech deploys Matrix COSEC Visitor Management to replace the clipboard end to end: hosts pre-register guests before they arrive, visitors self-register from a web portal or terminal with ID capture, and security sees everyone currently on site on one live dashboard — with a complete, searchable record behind it.
Capabilities
Registration that starts before the visitor arrives
Hosts pre-register expected guests from the employee self-service portal, so the details are in the system before the visitor walks in — no queue at the desk while a receptionist types. Visitors can also self-register from a web portal, and a mobile app lets hosts invite and approve from anywhere.
Returning visitors check in without re-enrolling — recurring-visit profiles carry their details forward. For events, a bulk invite uploads a full guest list at once instead of registering hundreds of people one at a time at the door.

Visitors go where they're authorized — and nowhere else
A signed-in visitor is not a free pass to the whole building. Time-based access rights tie each visitor to where and when they are allowed: specific departments, floors, and conference rooms, for the duration of the appointment and no longer.
Access is granted or restricted selectively per visitor, so a contractor reaches the plant floor while a sales caller stays in the lobby — the same controls that protect physical, intellectual, and human assets at the employee level, applied to guests.
See everyone on site, right now
A live dashboard gives security a graphical overview of current visitor activity — who is on the premises, who has checked out, whose pass has expired, and what equipment came in with them. When something needs action the information is already on screen, not buried in a logbook.

A searchable record, not a paper trail
Every entry and exit is recorded automatically and turned into reports that answer what auditors and incident reviews actually ask: pass validity, punch details, pre-registered visitors, blocked visitors, frequent visitors, and expired passes.
What took an afternoon of leafing through handwritten pages becomes a filtered query — exportable, legible, and complete.

Event-Driven Visitor Management
Hospitality
Pre-register conference attendees, suppliers, and contractors for time-bound access — print badges with zone restrictions, notify hosts on arrival, and maintain a complete visitor history per event. Replaces paper sign-in at the conference desk with a flow that meets venue security expectations.
Hospital Visitor & Patient Relationship Tracking
Healthcare
Capture National ID or Iqama at reception, record patient relationship and destination ward, print time-bound badges with zone restrictions, and notify the host clinician on arrival. Replaces paper visitor logbooks across multi-building hospital campuses.
Audit-Grade Public Service Visitor Records
Government & Public Safety
Replace paper visitor logbooks across ministries, courts, municipal offices, and public-safety facilities. National ID and Iqama capture at reception, time-bound badges with zone restrictions, and host notification on arrival — producing the documentation standard expected for Vision 2030 government modernisation audits.
