Hosts pre-register expected guests from the employee self-service portal, so the details are in the system before the visitor walks in — no queue at the desk while a receptionist types. Visitors can also self-register from a web portal, and a mobile app lets hosts invite and approve from anywhere.

Returning visitors check in without re-enrolling — recurring-visit profiles carry their details forward. For events, a bulk invite uploads a full guest list at once instead of registering hundreds of people one at a time at the door.

A signed-in visitor is not a free pass to the whole building. Time-based access rights tie each visitor to where and when they are allowed: specific departments, floors, and conference rooms, for the duration of the appointment and no longer.

Access is granted or restricted selectively per visitor, so a contractor reaches the plant floor while a sales caller stays in the lobby — the same controls that protect physical, intellectual, and human assets at the employee level, applied to guests.

A live dashboard gives security a graphical overview of current visitor activity — who is on the premises, who has checked out, whose pass has expired, and what equipment came in with them. When something needs action the information is already on screen, not buried in a logbook.

Every entry and exit is recorded automatically and turned into reports that answer what auditors and incident reviews actually ask: pass validity, punch details, pre-registered visitors, blocked visitors, frequent visitors, and expired passes.

What took an afternoon of leafing through handwritten pages becomes a filtered query — exportable, legible, and complete.
